Zoom transcript to a Word document without re-transcribing the meeting

If your Zoom meeting was recorded to the cloud with transcription turned on, you already have the text. The awkward part is getting it into something a person can read and edit, because the file Zoom gives you is a caption file, not a document.

What Zoom actually gives you

Zoom's cloud transcription saves an audio transcript as WebVTT, a .vtt file. Each cue has a time range and a line of text, sometimes with the speaker's name at the start. Paste that into Word and you get timestamps, cue noise and caption-sized line breaks mixed through the sentences.

Get the file

  1. Sign in to the Zoom web portal and open Recordings.
  2. Open the meeting under Cloud recordings.
  3. Download the Audio transcript. It is usually the .vtt.

If transcription was off during the meeting, switching on the cloud audio transcript setting only helps for the next one. For past meetings you can still convert any SRT or VTT you exported from another tool.

Turn it into prose

Two things decide whether the Word file is useful.

  • Speaker lines. Consecutive cues from the same person should be merged into one paragraph, otherwise a sentence is split across five lines.
  • Timestamps. Keep the time range if someone will compare the text with the recording. Drop it when the reader just wants minutes or a quote.

You can do the clean-up by hand in Word, with find and replace and a lot of patience, or with a converter. I work on one, SRT2Word's Zoom transcript page, which takes the pasted transcript or the file and writes a .docx with the speaker labels and optional timestamps. Free use covers one conversion at a time; Pro is a one-time unlock for batches.

Before you send the document

  • Read it once against the recording for names and numbers. Auto transcripts get those wrong.
  • If you removed timestamps, keep the original VTT in case someone asks where something was said.

If you paste the transcript into ChatGPT to draft the minutes, the answer comes back as Markdown; ChatGPT2Word, a sibling tool, turns it into a Word file without stray asterisks and hash marks.

Not affiliated with Zoom. Steps reflect the Zoom web portal as of late September 2026 and may change.
