Sepel Water — Privacy Policy
Grace PorterHow Sepel Water handles the information you give it when you book sessions, design a board, talk to a coach or shop for gear. Written to match what the app actually does.
Who we are Controller
Sepel Water is published by Grace Porter ("we", "us"). We are the data controller for the personal data described here. You can reach us at grace.porter31@gmail.com .
This policy covers the Sepel Water mobile app and these web pages. It does not cover the independent coaches, session operators, board manufacturers or shop brands you may deal with through the app, who have their own policies.
Account What you give us
To book anything you need an account. We store your name, email address, a hashed password (or the identifier returned by Sign in with Apple / Google if you use those), and an optional profile photo and paddling level.
You can use the schedule, board designer preview and shop browsing without an account. Nothing you do while signed out is tied to you.
Sessions Bookings
When you book a SUP session we record the session, the time, the number of participants you entered, and the booking status. We share your name and party size with the operator or instructor running that session so they know who is turning up. We do not share your email or phone number unless you choose to add it to the booking note.
Booking history stays in your account so you can see past and upcoming sessions. You can delete individual bookings from history once they have passed.
Location Optional
The schedule of nearby sessions and nearby coaches uses your approximate location if you grant the permission. Location is read only while the screen that needs it is open. We do not record a location history and do not run location in the background.
If you deny the permission, you can type a place name instead and everything still works.
Board designer Designs & orders
Board designs you create (shape, length, width, thickness, colour scheme) are saved to your account so you can come back to them and see them on any device you sign in on. Drafts are private to you.
When you place an order, we send the design specification, your name, delivery address and contact email to the manufacturer who builds the board, and we receive back production status updates (ordered, shaping, glassing, shipped, delivered) to show in the app. The manufacturer is a separate business and processes your delivery details under its own policy.
Coaches Messages
Coach profiles are provided by the coaches themselves. When you contact a coach through the app, the message and your display name are delivered to that coach and stored so that the conversation can be shown to both of you. Coaches can see your paddling level if you set one. We do not read conversations except where required to investigate a report of abuse.
Deleting a conversation removes it from your view. The coach retains their copy until they delete it, as with any messaging service.
Shop Purchases & payment
For shop and board purchases we store the items, price, order status and delivery address. Payments are handled by a payment processor (Apple Pay, Google Pay or a card processor depending on your platform). Card numbers never reach our servers; we receive only a payment token, the last four digits and a success or failure result.
Items are fulfilled by the brands or a fulfilment partner, who receive your name and delivery address for that order only.
Device data Technical
The app sends the minimum needed to work: your app version, OS version and a push notification token if you turn notifications on (used for booking confirmations, session reminders, order updates and coach replies). If the app crashes, an anonymised crash report without personal content may be sent so we can fix it.
We do not use advertising identifiers, third-party analytics SDKs, ad networks or cross-app tracking. There are no cookies on these web pages.
Legal basis Why we may process
- Contract – running your account, bookings, orders and coach messaging.
- Consent – location access and push notifications, which you can withdraw at any time in system settings.
- Legitimate interest – security, fraud prevention and crash fixing, balanced against your rights.
- Legal obligation – keeping purchase records for tax and accounting.
Retention How long
Account data is kept while your account exists. Bookings and conversations are kept until you delete them or your account. Purchase records are kept for as long as accounting law requires (typically seven years) and then removed. Crash reports are discarded after 90 days.
Your rights Control
You can view and edit your profile, designs and bookings in the app. From Settings → Account → Delete account you can erase your account; designs, drafts, bookings and conversations are deleted within 30 days, and only records we are legally required to keep (completed purchase invoices) remain.
You may also ask us to access, correct, export or delete your data, or object to processing, by emailing grace.porter31@gmail.com . If you live in the EU/EEA or UK you can also complain to your local data protection authority.
Children Age
Sepel Water is not directed at children under 16 and we do not knowingly collect their data. Parents booking sessions for children enter only the participant count, not the children's names.
Changes Updates
If this policy changes in a way that matters, we will show a notice in the app before the change takes effect and update the effective date at the top of this page.
