President 

As the club leader, the president helps members develop as leaders and works to ensure that the club's professional and leadership development activities and community and international service projects are successfully promoted and completed.

Under the leadership of the Rotaract club president, club members plan professional development activities, leadership training, community and international service projects, fundraisers, and social events. 

Responsibilities:

  • Identifies members' skills and interests and puts them to work in club projects
  • Maintains club operations, delegating responsibilities, and establishing meeting schedules
  • Develops a plan for the year as early as possible
  • Presides over all meetings of the club and its board of directors (following parliamentary procedure may help to keep the discussion relevant)

Appoints all standing and special committees, with board approval, and follows up on committee progress with the help of the vice president

The president should maintain regular communication with:

  • Sponsoring Rotary club through joint activities and meetings
  • District Rotaract representative through club participation in district activities and meetings

Rotary International through participation in the Rotaract Preconvention Meeting and annual reporting

To help facilitate communication, the above groups should also receive the club's bulletin or newsletter featuring the outstanding Rotaract club projects or activities.

Immediate Past President

The Immediate Past President (IPP) remains on the board the year immediately following their tenure as President to ensure continuity in leadership and act as an advisory to the new President and board. The IPP serves in this capacity even if they reach the age of 30 during their year as President.

Vice President

The club vice president can serve more effectively by understanding the year's goals, projects, and activities, and being well versed in community and Rotary resources. To that end, it is important that the club president and vice president work together as a team. 

Responsibilities:

  • Presides at all meetings when the president is absent and serves on the board of directors and as an ex-officio member of all committees.
  • Acts as the "officer at large," responsible for all assignments that are designated by the president.
  • Liaises with the district committees whenever required

Assists the president in ensuring the club meets any required deadlines

A well-organized and responsible vice president is often the key to a successful Rotaract year. The vice president can reduce the administrative load, allowing time for the president to develop new and exciting club projects and activities.

Secretary

Responsibilities:

  • Handles the club's communication with the public through correspondence to the Rotary club sponsor(s), outside agencies, prospective members, Rotary International, and other Rotaract clubs
  • Maintains all club records
  • Takes the minutes for all board and club meetings (when necessary)
  • Sends the Notice of Rotaract Alumnus (Potential Rotarian) form to the secretary of sponsoring Rotary club once members reach the Rotaract age limit of 30
  • Assists the president in ensuring the club meets any required deadlines

Special requirements:

  • Must be very detail-oriented and organized
  • Must have good communication skills
  • Ability to multi-task and meet deadlines

Treasurer

As the collector and disburse of club funds, the treasurer is responsible for the club's solvency and financial stability. In preparing for this assignment, the treasurer should meet with the previous treasurer and consult the sponsoring Rotary club treasurer and a certified accountant.

Responsibilities:

  • Chairs the finance committee
  • Works with the board of directors to develop the annual budget
  • Collects dues and all funds raised by the club
  • Pays all club bills and reimbursements for club expenses
  • Reports the club's financial status at each meeting
  • Has the books audited at the end of the fiscal Year

Club Service

  • Develops strategies for membership development and retention
  • Monitors attendance
  • Oversees the productions and distribution of the club bulletin
  • Plans fellowship activities for the membership

International service

  • Primarily responsibility for seeking opportunities to enhance knowledge and understanding of worldwide needs and problems
  • Developing activities to give service for promoting international understanding and goodwill toward all people.
  • Responsible for initiating and planning one major activity each year which shall involve all or most of the club membership.

Community Service

  • Primarily responsible for seeking opportunities to enhance knowledge and understanding of local community needs and problems
  • Formulating and developing appropriate activities for serving the local community
  • Responsible for initiating and planning one major activity each year which shall involve all or most of the club membership.

Professional Development

  • Reviews suggestions and develops plans to provide opportunities for professional development for the club's membership
  • Developing programs designed to provide information about a wide cross-section of businesses and professions
  • Developing programs to stimulate awareness and acceptance of high ethical standards in business and professional life.

Public relations director

  • Make sure the club website and social media pages are updated frequently and reflect the club's activities.
  • coordinate picture taking/documenting of club activities and post
  • invite community members to participate in club projects and events
  • update membership directory, ensure that information is accurate, up to date and posted in the 'secured' section of the website.
  • maintain social media outlet
  • develop and cultivate relationships with Media, Community, School and Business leaders.
  • create a means to promote club projects on local TV and Radio medias, magazines, newspapers and other publications

Fundraising director

  • work with the outgoing president and treasurer to determine what funds the club will need and see that these funds are included in the club's budget.
  • plans, leads, organizes and implements any fundraising activities.
  • decides how the club will fund its activities
  • focuses on keeping dues low and maintaining the clubs ability to support itself
  • seeks in-kind and monetary donations from business and organizations
  • create a means to be partnership with local and international organizations and get funds

Sergeant-at-Arms

The functions of a Sergeant-at-Arms is to help maintain an orderly, dignified, and effective Rotary club meeting, one that will make the right kind of impression on club members, visitors, and guests. These functions include:

  • Be constantly on the alert to prevent any occurrence that might detract from the dignity and prestige associated with Rotary clubs.
  • To handle the physical preparations for, and the mechanical/logistical arrangements of a meeting, and, unobtrusively, to guide the general conduct of members and guests at the meeting.
  • Play an important role in overall following and maintaining a schedule of events and activity to provide for a pleasant and successful meeting.
  • Allow the President to conduct the meeting with confidence and a rule of order. e.g. Assisting members and guests to be able to have a positive and enjoyable experience with the club meeting.

 Each duty period involves showing up approximately 30 minutes early to set up the meeting room, assist the Treasurer with ticket sales and sign-in activities, providing introductions of guests and visitors, performing recognition of member activities of note (which may include financial contributions), conducting the weekly drawings for large and small pot ticket sales, and cleaning up and returning club materials to storage after the meeting. Most Sergeant-at-Arms have completed their duties within 10 to 15 minutes following the meeting.

Project officer

  • Collaborates with other members of the board of directors to create and  execute exciting, interesting events for the club constituency;
  • Ensures the fiscal viability of all events;
  • Maintains a list of events and statistics throughout the year on club monthly report form;
  • Submits attendance list of events to board of directors and monthly report;
  • Works closely with club secretary and PR to promote upcoming events;
  • Alerts Community service, professional and club service for upcoming events with details

Interact director

  • Is a bridge between the sponsoring mother Rotary Club.
  • assist interact on their activities
  • pass members list for the club secretary elect which is 18+ to recruit future Rotaract members

GRC Representative

  • represent the club in any GRC assembly 
  • be the communication pillar between GRC and the club
  • update and share GRC news to club BoD and members
  • initiate environmental projects within the club
  • do tasks and share the workload in GRC
