Project Administrator
Digital nomads. Work from anywhereCompany: Olive Tree Consulting Group
We are looking for a Project Administrator to support our consulting team as we work with a global maritime client. This role is a central point of coordination for our internal team and the records we keep for our client engagement. It is a full-time, entry level position that is entirely remote, meaning you can work from wherever you are most productive. We value someone who finds satisfaction in keeping things orderly and making information easy for others to find.
About the Role
The Project Administrator exists to ensure that our advisory work remains grounded in clear documentation. In our current engagement with the global maritime firm, we are helping their leadership teams move away from vague habits and toward specific, recorded decisions. You will support our consultants by capturing the output of these sessions and turning them into usable records. This role is fundamental because it provides the structure that allows the rest of the team to focus on solving management problems. You will be the person who ensures that no follow-up task is forgotten and that every decision has a clear owner.
What You Will Do
* Taking detailed notes during internal and client meetings that focus on decisions made rather than just a transcript of the conversation.
* Organizing project files and digital workspaces so the team can access the latest information quickly.
* Maintaining the project calendar and coordinating video call schedules across multiple participants.
* Drafting status updates that track the progress of specific management changes we are helping the client implement.
* Following up on small tasks and handoffs to ensure the work keeps moving between scheduled sessions.
* Building and maintaining the simple written records that serve as the memory for the project.
* Standardizing documents to ensure they meet our clarity and formatting guidelines before they reach the client.
What We Are Looking For
* High attention to detail when recording and organizing written information.
* A natural preference for order and a dislike for cluttered digital files or messy notes.
* The ability to write in a clear, plain style that avoids jargon or overly formal language.
* A calm approach to tasks, even when schedules shift or client needs change quickly.
* Strong self-management skills to stay focused and productive in a remote setting.
* A belief that a small, accurate record is more valuable than a long, vague presentation.
* Curiosity about how companies work and a willingness to learn our specific approach to management advisory.
Helpful Background
* Familiarity with standard productivity software including document editors, spreadsheets, and calendar tools.
* Experience in a role where you had to manage information or schedules, such as a university project, a volunteer position, or a previous office job.
* A background in a field that requires synthesizing information into summaries, such as communications, business administration, or the humanities.
* Comfort collaborating through digital tools like video calls and chat platforms.
* A basic understanding of how large organizations are structured, though specific maritime knowledge is not required.
What We Offer
This is a permanent, full-time position that is fully remote. We offer a competitive professional salary for this entry level role and the necessary support to set up your remote workspace. You will have the opportunity to learn how leadership advisory works from the inside and contribute to a significant project for a global maritime firm. We value a quiet work rhythm and respect your personal time, focusing on the quality of your work rather than how many hours you spend in meetings.
About Olive Tree
Olive Tree Consulting Group is a focused advisory practice that helps leadership teams solve recurring management issues. We typically work on the space between strategy and daily execution. A team can have very capable people and still find that decisions keep reopening, priorities stall, or responsibility remains unclear. These are rarely personality problems: they are structural habits that have not kept up with the company's growth. We favor practical changes over large-scale transformation programs. Our work involves looking at how decisions are made, how meetings are run, and how ownership is recorded. We prefer useful written notes and clear ownership over polished presentations and vague alignment. Good advisory work should make things plainer and leave the team with a rhythm they can continue on their own. The firm is built on the principle that memory is not a management system. We help teams create the smallest possible written record to support their work so that important follow-up does not depend on who was in the room or who has the best memory. The goal is a quieter management pattern that makes the existing work easier to lead.
