Privacy Policy — Deepen ERP

Deepen ERP ("we", "our", "us") operates the Deepen ERP mobile application (the "App"), a business management tool used exclusively by gym owners and their authorized staff ("Admins") to manage gym operations. This Privacy Policy explains what information the App collects, how it is used, and how it is protected.

By using the App, the Admin agrees to the terms of this Privacy Policy.

1. Who This App Is For

The App is a business (B2B) tool. It is not a consumer app and does not offer public account registration. Access is granted exclusively by Deepen to the gym owner ("Client Business"), who receives login credentials (the gym owner's registered phone number and a password) issued through our administrative system. There is no self-registration or sign-up flow within the App.

The App is not directed at, marketed to, or intended for use by children. It is a professional tool intended solely for business owners and their staff.

1. Information We Collect

a. Admin Account Information

• Login credentials (phone number and password) issued by Deepen to authenticate access to the App.

b. Business and Client Data Through the App, Admins can view and manage data related to their gym's operations, including:

• Gym client (member) names and contact details, entered by the Admin
• Membership/subscription details (purchase date, remaining duration, status)
• Financial and payment records related to the gym's business activity (revenue, transactions, statistics)
• Bar/inventory and related operational records, where applicable

This data is entered and managed by the Admin through the App and our web-based ERP system (erp.deepen.fit), which powers the App's backend.

c. Device and Usage Data We may automatically collect limited technical information necessary for the App to function and remain secure, such as device type, operating system version, app version, and crash/error logs.

d. Location Information The App does not request or collect precise location data. If a future feature requires it, this policy will be updated in advance and appropriate consent will be requested.

1. How We Use Information

We use the collected information solely to:

• Operate and maintain the App and its core features (client tracking, subscription/membership management, financial reporting)
• Authenticate Admin access and protect gym business data
• Provide technical support to Admins
• Detect, investigate, and prevent technical issues, fraud, or misuse
• Improve the App's performance and reliability

We do not use business or client data for advertising, profiling, or any purpose unrelated to the operation of the gym's business through the App.

1. How We Share Information

We do not sell, rent, or share personal or business data with third parties for marketing or advertising purposes.

Deepen ERP operates its own proprietary backend infrastructure. All data collected through the App is stored exclusively on our own servers. We do not transmit, share, or otherwise disclose data to any third-party companies, advertisers, or external services.

Limited exceptions apply only where necessary to:

• Comply with a valid legal obligation, court order, or lawful request from public authorities
• Protect the rights, property, or safety of Deepen, our Clients, or others, where required by law

1. Data Control and Deletion

The gym owner (Client Business) retains full control over the data associated with their gym. Through the Admin panel, the Admin may:

• Add, update, or permanently delete any client or business record at any time
• Request deactivation of their Admin account and associated data by contacting us directly at the email below

Requests to delete an Admin account and all associated business data will be processed within a reasonable time after verification of the request.

1. Data Security

We implement reasonable technical and administrative safeguards — including access controls and authentication requirements — to protect data stored in our systems from unauthorized access, alteration, disclosure, or destruction. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

1. Data Retention

We retain business and client data for as long as the gym owner's account with Deepen ERP remains active, or as needed to provide the service. Data may be retained for a limited period after account closure where required for legal, accounting, or dispute-resolution purposes, after which it is deleted or anonymized.

1. Children's Privacy

The App is a business management tool intended solely for adult gym owners and staff. It is not directed at children, and we do not knowingly collect personal information from children through the App.

1. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or regulatory reasons. Any changes will be posted on this page with an updated "Effective Date." Continued use of the App after changes are posted constitutes acceptance of the revised policy.
