How to Calculate Your Freelance Rate (Formula + Free Calculator)
FreelanceKit ProSetting your freelance rate is one of the most important decisions you'll make. Too low and you burn out. Too high and you lose clients. Here's the formula.
The Freelance Rate Formula
Hourly Rate = (Annual Target Income + Business Expenses + Tax Buffer) / Billable Hours
Step 1: Calculate your annual target income
How much do you need to live comfortably? Add 20-30% for savings.
Step 2: Add business expenses
Software, equipment, coworking space, insurance, accountant — these typically run €3,000–€10,000/year for most freelancers.
Step 3: Add tax buffer
Freelancers pay self-employment taxes. In most EU countries this is 25-45%. US: ~30%. Build it in.
Step 4: Calculate billable hours
52 weeks × 40 hours = 2,080 hours. Subtract vacations (2 weeks), sick days (5 days), non-billable admin (20%). Realistic: ~1,300-1,500 billable hours/year.
Example Calculation
Target: €60,000/year + €5,000 expenses + 30% tax = €84,500 gross need / 1,400 hours = €60/hour minimum rate
Pricing Strategies
- Hourly: Good for variable scope work
- Project-based: Better for clients, higher total revenue
- Retainer: Best for recurring work, most stable income
