How Virtual events are Transforming the Event Industry

Andrew Lewis

The ongoing pandemic has changed our lives completely. From the way we work, shop to the way we attend events and seminars from remote locations, we’re adapting to changing patterns. From a health perspective, it has become essential that people remain indoors, avoid social gatherings and functions that have several visitors in an enclosed space. This increases the chances of contracting the COVID-19 virus. Although there are vaccines available that are boosting our immunities against the virus, it is always better to stay safe. Keeping this in mind, one can certainly say that virtual events are the next big thing! One can even consider them to be the in-thing of the present times. Events that were previously held physically by renting out a hall or stadium are now being viewed by the audience from their living rooms.

Virtual events are not just specific to IT-related companies but have gained momentum across sectors. In fact, even weddings these days are happening virtually!

The bright side of virtual meetings is that it is an effective and efficient way of hosting events and reduce the overall cost associated with holding a physical event. It allows you to play videos, audios, presentations and makes interacting with all participants easier than an offline event. It does not require the participant to travel down to the venue to actually be part of the event.

Virtual events can be classified into 4 types of events i.e. Webinars, virtual web conferences, internal hybrid events and external hybrid events. Virtual event platform are applications that allow people to come together in a meeting or event from any place in the world. They require internet access along with audio and video facilities that are available on any smartphone or computer. Applications like Zoom, Google Meet, Microsoft Teams, Zuddl, and other such apps are considered to be virtual event platforms. They provide a great opportunity to host an event that can involve interaction and participation amongst the participants. They also offer subscription plans that allow extensive duration of hosting time, multiple participants and added features that make the experience of the virtual event easier, engaging and more interesting. Events, both internal to a company as well as those involving external stakeholders can be efficiently held over virtual event platforms.

The idea of hosting virtual events has grown to different scales where now many large events are also being held over these virtual event platforms. Businesses in the form of virtual event companies are being run where virtual events are professionally run and managed by skilled individuals working as part of the event company. They provide end-to-end solutions to making a virtual event successful. They indulge in virtual event planning with the event host i.e. the entity desirous of having a virtual event to understand the flow of the event, its management, keeping track of the attendance to the event. They strive to make the event a success, despite all the distance. Virtual event companies ensure all organisations are up to date with the industry practices and no one is losing out on the opportunity to host an event due to in-person meeting restrictions.
