Head of Project Management

Digital nomads. Work from anywhere

Company: Ready Set

Ready Set is a full-service performance creative agency built on the belief that exceptional creative is the single most powerful lever for driving growth. We combine world-class creative production with full-funnel media strategy — connecting content, data, and distribution to drive measurable results for our clients.
We work with performance leaders like DoorDash, Hims+Hers, Brigit, Earnest, Sesame, Wild Alaskan Company, and more — spanning DTC, fintech, health & wellness, food & CPG, and consumer tech. With ~20 active clients and a team of ~116 across 12 countries, we are scaling from $15MM to $50MM in revenue. Project Management is the operational backbone that keeps creative production moving at pace — and the Head of Project Management is the person who makes that backbone stronger with every cycle.
About the Position
The Head of Project Management is responsible for the delivery performance, process discipline, and continuous operational improvement of Ready Set's Project Management function. This role leads the PM team, sets and enforces the standards by which all client projects are planned and executed, and ensures that the production engine runs with the precision and predictability the business needs to scale.
This is not a role that manages projects directly. The Head of Project Management manages the system, the team, and the standards — ensuring that Project Managers operate with the methodology, tooling, and process discipline to deliver consistently across all accounts. When delivery risks arise, this role steps in at the structural level: diagnosing root causes, fixing the process that allowed the failure, and building the safeguards that prevent recurrence.
The ideal profile for this role comes from a product or technology company background, where agile methodologies, sprint-based delivery, process automation, and structured operational thinking are the norm — not the exception. Experience in a marketing or creative agency context is a strong plus, but the engineering discipline that comes from a product environment is what this role is built around. Ready Set's production model requires someone who can bring that rigour to a high-volume creative context and make it stick across a distributed, multi-disciplinary team.
Responsibilities
Process Design, Standardization & Automation
* Own the PM methodology: design, document, and enforce the project management standards, templates, and operating practices used across all client accounts — building a delivery process that is repeatable, measurable, and continuously improving
* Drive process automation: identify manual, repetitive, or error-prone steps in the PM workflow and implement automated solutions — in partnership with Operations Excellence — that reduce coordination overhead, improve data accuracy, and increase delivery throughput without adding headcount.
* Embed AI into the PM operating model: actively investigate, pilot, and scale AI tools that improve how the PM team plans, tracks, escalates, and reports — treating AI adoption as a core operational responsibility, not an optional enhancement.
* Act as the primary operational feedback loop: collect structured, evidence-based input from the PM team's day-to-day delivery experience and use it to inform system improvements with Operations Excellence — ensuring the tools and workflows in use are continuously refined against real production conditions.
* Build and maintain the PM playbook: document all delivery standards, escalation protocols, onboarding procedures, and workflow templates in a form that is accessible, adopted, and updated as processes evolve.
Team Leadership & Development.
* Lead, develop, and hold accountable the Project Management team: set clear performance expectations, provide regular structured feedback, and build a team culture where delivery precision, process discipline, and continuous improvement are the shared standard.
* Own capacity planning and resource leveling across the PM team: ensure workload is distributed appropriately across Project Managers, and partner with the VP of Creative Services when resourcing decisions require escalation.
* Coach Project Managers on technical PM skills, agile delivery methods, escalation discipline, and AI-assisted workflow: the goal is a team that resolves most issues independently and arrives at escalation points with a recommendation, not a question.
* Set quarterly goals for the PM team in alignment with Operations and Creative Services priorities; track progress and report results to the VP of Creative Services.
* Identify skill gaps within the team and address them through coaching, structured development, or hiring — ensuring the PM team's capabilities scale with the business.
Delivery Oversight & Risk Management
* Maintain a high-level view of delivery health across all active client accounts: monitor portfolio-level risks, identify patterns of delay or scope failure, and intervene at the structural level before issues become client-facing problems.
* Establish and enforce escalation standards: define what warrants escalation, by whom, in what timeframe, and with what information — so that risks surface early and are resolved with enough lead time to protect delivery commitments.
* Step in to resolve high-level delivery risks that require cross-team coordination or client relationship decisions — acting as the escalation point above the PM layer when the situation demands it.
* Track delivery performance metrics across the PM team: on-time delivery rate, budget compliance, revision rates, and escalation frequency — using that data to identify structural improvements and report results to the VP of Creative Services
Cross-Functional Alignment & Operational Partnership
* Act as the primary bridge between the PM function and the rest of the organization: aligning Creative Development, Creative Supply Chain, Media Buying & Insights, and Account teams around shared delivery standards and escalation protocols.
* Partner with Operations Excellence on tooling decisions, automation rollouts, and workflow redesigns: representing the PM team's operational reality in system design discussions and ensuring that new tools are adopted effectively, not just deployed.
* Collaborate with the Creative Supply Chain Director to ensure production pipelines and PM workflows are aligned — and that client requirements are translated into production plans that the supply chain can execute without ambiguity.
* Contribute to company-wide operational discussions with a PM perspective: bringing structured thinking, delivery data, and process recommendations to cross-functional planning conversations
Qualifications
* 7+ years of experience in project management or delivery management, with at least 3 years in a leadership role overseeing a PM team or delivery function
* Demonstrated background in a product or technology company environment: hands-on experience with agile methodologies (Scrum, Kanban, or equivalent), sprint-based delivery, and the structured operational discipline that product development environments require. This is a must-have — not a nice-to-have.
* Proven experience designing and automating operational processes: comfortable identifying manual or inefficient workflows and implementing automated solutions that reduce coordination overhead and improve delivery reliabilityat scale.
* Demonstrated AI adoption in a PM or operational context: has actively investigated, piloted, and implemented AI tools to improve planning, tracking, reporting, or workflow efficiency — not just awareness of AI, but a track record of making it work in practice.
* Strong capacity planning and resource management skills: experienced managing workload distribution across a PM team and using data to make resourcing decisions.
* English fluency is a must!
* Experience in a marketing, advertising, or creative production agency is a strong plus — familiarity with the specific pace, ambiguity, and cross-functional complexity of agency delivery is valued, but not required
