Five months ago we were doing $10k/day. Today we’re at $150k/day and still scaling. We’re building the biggest brand in emergency preparedness, a category where people actually need what we sell. It’s not another supplement for women over 60. We have multiple products live and more in development, and US 3PL and country expansion are next.
You’ll be the person doing the operational work every day. You’ll work under our Operations Manager, who oversees operations and spends most of their time on product development, new SKUs and the bigger picture. That only works if the day-to-day runs without them. You execute, you keep everything moving, and you bring them problems with a plan already attached. You’ll also join a team of operators in their 20s who are obsessed with this brand, across media buying, creative, CRO and support, all focused on one product line.
Base: $8k–$20k/month, depending on experience and how much of the scope below you can own from day one. Performance upside comes on top for the right person.
Referral bonus: know the right person? We’ll pay $1,000 once they’re hired and onboarded.
Head of Operations: the person who runs the business day to day
You own the daily operations of the business end to end. Nothing slips. When something below lands on your desk, it’s fully yours, and nobody above you has to think about it again.
Systems & AI (the part we care about most)
Every process in this company should end up as a system, and every system should get faster every quarter. You’ll keep building new ones: onboarding flows, reporting pipelines, approval chains, inventory alerts, support triage and agency scorecards. Then you’ll keep replacing them with better ones. We expect you to look for new AI tools every week and test them properly rather than collecting subscriptions. You’ll automate work that currently costs us human hours: reporting, data pulls, compliance checks, first-pass screening, and anything else that repeats. Ask team heads what they’d automate if they could, then build it. If we’re still doing something by hand a year from now that could have been automated today, that’s on you.
Legal & compliance
* Product documentation and claims for every existing and new SKU, sourced from suppliers and cleared with our legal team
* Third-party batch testing
* Meta and platform compliance
* Product liability, general liability and D&O insurance
* US sales tax nexus and EU/UK VAT
* GDPR/CCPA and privacy
* IP and trademark registration ahead of Amazon and international launches
Supply chain & inventory
* Demand forecasting, reorder points, stockout prevention and deadstock
* US 3PL expansion and shipping optimization
* Supplier redundancy: dual-sourcing our top SKUs
* Returns and reverse logistics: the RMA process, return rate by SKU, and refund fraud
Cash & finance
* Weekly and monthly P&L with the legal/finance team
* Cash flow forecasting, working capital, inventory financing and supplier payment terms
* Annual budget, quarterly targets and scenario planning. This is the plan we work against, not just a report.
Risk & continuity
* Payment processor redundancy and merchant account health. Brands die when a processor drops them and there’s no backup.
* Ad account and business asset resilience: backup BMs, pixel access, agency accounts, and a documented plan for a Friday-night ban
* Fraud and abuse: order fraud, promo stacking and affiliate fraud
* Crisis playbooks for a recall, a viral complaint, a supplier blowup or a processor freeze
Team & hiring
* Run hiring: job posts, screening, and candidate calls for company fit. Final calls go up the chain.
* Contract templates for each role, built with legal
* Onboarding, app access, SOPs and the knowledge base. Institutional memory lives in a system, not in DMs.
* Monthly KPI reviews with team heads. You report performance to the Operations Manager and bring a plan when a number is off.
* Hold every agency (email, creative, media) accountable to the KPIs we set
* Full-cycle performance management, including reviews
Apps & tooling
Find, vet and own every app the team runs on: chargeback tools, support, analytics and forecasting. Integrate them correctly, avoid bloat, and make sure we’re not paying silent monthly fees for things nobody uses.
Plus the two that quietly cost the most when nobody owns them:
* A contract and renewal register for every vendor
* Metrics discipline on chargeback rate, delivery accuracy, hit rate and processor health, with a plan in front of the Operations Manager before a number becomes a problem
Not all of this is daily. Some of it is weekly, some quarterly, some once. All of it is yours to keep running.
Must-haves
* 3+ years running operations at a DTC e-commerce brand doing real volume. You’ve personally handled a 3PL, a supplier and a chargeback dispute, not just supervised someone who did.
* You’ve built systems that outlived you: SOPs, dashboards and onboarding docs that people actually use
* You build with AI, not just chat with it. You’ve automated real workflows and can show us what you replaced and what it saved.
* You’re financially literate
* You’re comfortable with legal and compliance work. You read the document instead of forwarding it.
* You’re an executor. You take direction from a hands-on manager, run with it, and keep them informed without needing to be chased.
* Native or near-native English, with working overlap with US hours
* A registered sole proprietorship or company that can invoice, because this is a contract position
* Full-time and exclusive: one brand, no side clients
* You chase problems down and bring solutions, not just escalations
