Finance Admin & Project Assistant (Global Construction Projects)

We are currently looking for a Finance Admin & Project Assistant to support financial operations, project coordination, cost control, and administrative workflows across construction projects.
What You'll Be Working On
As part of the team, you'll work alongside finance managers, project managers, and operations teams to support:
* Daily financial operations including invoicing, expense tracking, bank reconciliations, payroll support, and financial reporting
* Accounts payable and receivable processing while ensuring compliance with financial policies
* Budget preparation, project cost tracking, cost control, and financial reporting
* Project coordination including scheduling, procurement, documentation control, and administrative support
* Tender preparation, cost reporting, and project financial administration
* Communication with project managers, subcontractors, suppliers, and internal teams to ensure smooth project delivery
* Supporting accurate financial management and operational efficiency across multiple construction projects
What We're Looking For
* 5+ years of experience as a Business Administrator, Bookkeeper, Project Administrator, Project Manager, or similar role
* Solid Xero experience (Non-negotiable)
* 2+ years of experience working with a construction company or a degree in Construction, Civil Engineering, Quantity Surveying, or a related discipline
* Strong understanding of construction workflows, including project management software and accounting systems
* Proven experience in cost controlling, budgeting, and project financial management
* Minimum of 2 years' experience working in a remote or international project environment
* Degree in Accounting, Business, Finance, Construction Management, Civil Engineering, or a related field
* High attention to detail with excellent organisational and communication skills
* Experience with project management software and accounting platforms such as Xero, Buildxact, Buildertrend, Procore, SimPRO, QuickBooks, or similar is highly regarded
Key Objectives
* Ensure accurate financial management and project cost reporting
* Maintain timely processing of financial transactions across multiple projects
* Support compliance with financial policies and audit requirements
* Improve operational efficiency through structured financial and administrative support
* Assist project teams with budgeting, procurement, and cost management
* Enable project managers to focus on project delivery by managing finance and administrative processes
Do You Meet the Requirements?
We're looking for professionals who have:
* 5+ years of relevant experience in business administration, bookkeeping, finance administration, or project administration
* Solid Xero experience (required)
* 2+ years of construction industry experience or a relevant construction-related degree
* Strong understanding of construction project workflows and financial systems
* Experience with cost control, budgeting, and financial reporting
