The role
You run the business engine of the agency. You own the books, the people processes, and the vendor and client follow up that keeps cash moving and the team functioning. This is not just bookkeeping. You understand how projects close financially, what each one contributes, and what needs to happen administratively so the rest of the team can focus on the work.
Because the agency is based in Puerto Rico, US jurisdiction, USD currency, all financial operations run in USD and follow US accounting conventions. You will coordinate with our Puerto Rico based external CPA, payroll provider, and benefits broker for jurisdiction specific filings, but you own the day to day function.
What you'll do
Finance, USD
- Manage AP and AR end to end in USD: client invoicing, vendor bill processing, collections follow up, payment runs, ACH, wire, check.
- Run monthly bank and credit card reconciliations in US accounts.
- Lead project financial closing: track project actuals vs. budget, calculate margins, identify scope creep, ensure billing matches deliverables.
- Maintain clean and accurate books in QuickBooks, US version, for the external CPA.
- Handle W9 collection from vendors and prepare 1099 documentation at year end.
- Prepare monthly financial reports for leadership: P&L summary, cash position, AR aging, AP aging.
- Manage cash flow projections in USD and flag risks early.
People operations
- Run employee onboarding and offboarding end to end.
- Maintain personnel files digitally and ensure compliance with local labor regulations in coordination with Puerto Rico based payroll and HR providers.
- Support payroll processing and benefits administration through external providers.
Vendor and client operations
- Maintain vendor relationships, contracts, COIs, W9s, and onboarding documentation.
- Follow up on client POs, signed estimates, and outstanding payments in USD.
- Track contracts, renewals, and key dates across vendors and clients.
- Serve as administrative point of contact for client and vendor questions outside of the project team.
General administration
- Coordinate with the external CPA, payroll provider, and benefits broker in Puerto Rico.
- Maintain internal documentation and SOPs for administrative and financial processes.
- Support leadership with ad hoc reporting, vendor research, and operational projects.
- Help manage subscriptions, SaaS tools, and operational vendors used by the team.
What we're looking for
- 5+ years of combined experience across finance, operations, and people administration.
- Demonstrated fluency operating finance functions in USD: AP, AR, US-style invoicing, W9/1099 handling, US banking workflows, ACH, wire.
- Working knowledge of US accounting conventions and GAAP fundamentals.
- Hands on experience with QuickBooks, Online or Desktop, US version.
- Solid bookkeeping skills: reconciliations, project accounting, monthly close.
- Experience handling employee onboarding and offboarding end to end.
- Fully bilingual at a professional level, Spanish and English, written and verbal.
- Reliable home work setup: stable internet, quiet workspace, professional video for calls.
- Self managed. You take ownership of the function without needing daily direction.
- Discretion and judgment. You'll handle sensitive financial and personal data.
- Strong organizational and documentation habits.
Plus
- Prior experience working remotely with a US or Puerto Rico based team.
- Experience inside an agency, creative studio, or professional services firm.
- Familiarity with project profitability tracking and time tracking systems.
