This Privacy Policy governs the collection, use, and protection of information belonging to users of the BillTick service, provided through the Telegram bot @BillTickBot (the "Service"). The Service follows a principle of minimal data collection: it only collects Telegram account identifiers and data that the User enters themselves as part of the time-tracking, invoicing, subscription, and MatchTick functionality. Information is used solely to operate the Service, communicate with the User, and improve the quality of the Service. Data is shared with third parties only where required by law, with the User's consent, to process a payment through a connected payment system, or to process an AI assistant request's text through a third-party service. The Administration is not liable for data leaks caused by the actions of users, Telegram, or third parties. This Policy may be changed without prior notice; continued use of the Service constitutes acceptance of the new version.

1. General Provisions

1.1. This Privacy Policy (the "Policy") sets out how information received from the User is processed and protected when using the Service through the Telegram bot @BillTickBot.

1.2. By using the Service, the User confirms their agreement with the terms of this Policy. If the User does not agree, they must stop using the Service.

2. Information Collection

2.1. The Service may collect the minimum necessary information, including:

Telegram account identifiers (user_id, username);

data the User enters themselves: client names and hourly rates, the time and duration of work sessions, and notes on them;

payment details for receiving payment from their clients (SBP phone number, bank name, or card number) — the User provides these voluntarily, and they are shown only in that User's own PDF invoices;

data from a freelancer profile card or a client job post when using the MatchTick section (categories, description, portfolio links, and any contact details the User chooses to show);

referral invitation history (who invited whom to the Service);

the text of requests sent to the AI assistant and the history of those requests (to enforce the daily request limit);

technical information needed for the bot to function;

the history of support inquiries.

2.2. The Service does not collect or store:

the User's passport data, documents, or photographs;

bank card details for paying for a BillTick Pro subscription (payment is processed by Telegram, CryptoBot, or Platega — card numbers do not pass through, and are not stored by, the Service's infrastructure);

the content of the User's correspondence with their clients outside the Service itself.

2.2.1. Separately: if the User chooses to enter a card number as a way to receive payment from their own clients (the "My payment details" section), that number is stored in the Service's database and shown in the PDF invoices the User sends to their clients — this is a deliberate choice by the User, not data collected for paying for the subscription.

2.3. The Service does not require the User to provide personal information beyond what is minimally necessary for its functionality.

3. Use of Information

3.1. The information collected is used solely to:

operate the time-tracking and invoicing functionality;

generate PDF invoices;

communicate with the User (notifications about sessions, payment status, support replies);

operate the MatchTick section (showing profile cards/job posts to other Users, notifying about responses);

generate the AI assistant's replies based on the User's data;

analyze and improve the quality of the Service.

4. Disclosure to Third Parties

4.1. The Administration does not disclose user data to third parties, except where:

required by applicable law;

necessary to process a payment (payment systems connected to the Service: Telegram, CryptoBot, Platega);

necessary to generate an AI assistant reply: the text of the User's request to the AI assistant is sent to a third-party natural-language processing service (OpenRouter, using the Google Gemini model) to generate a response. Financial data (amounts, hours, client names) that the AI assistant states in its reply is taken directly from the Service's database, not invented by the model;

in the MatchTick section — part of the User's data (a freelancer's profile card or a client's job post) is intentionally shown to other Users of the Service as part of that section's functionality;

the User has given explicit consent to such disclosure.

5. Data Storage and Protection

5.1. Data is stored only for as long as necessary for the purposes of processing it, in particular for the User's session and invoice history.

5.2. The Administration takes reasonable measures to protect information but does not guarantee absolute security of data transmitted over the internet and through third-party infrastructure (including Telegram).

5.3. The Service regularly creates backups of its database to protect against technical data loss. Backups are stored on the same server as the Service itself.

6. Disclaimer of Liability

6.1. The User acknowledges and accepts that transmitting data over the internet always carries certain risks.

6.2. The Administration is not liable for the loss, theft, or disclosure of data resulting from the actions of third parties, failures in Telegram's operation, or the User's use of insecure devices or networks.

7. Changes to This Policy

7.1. The Administration may change the terms of this Policy at any time without prior notice to the User.

7.2. Continued use of the Service after changes are published constitutes the User's acceptance of the new version of the Policy.
