To avoid additional charges and we might better serve you, please follow these important instructions. The customer is responsible to count and check for missing or damaged items upon delivery. If items are damaged or missing, the customer needs to call and report any problems immediately.
Upon pick-up, adjustments will not be made if not reported prior to pick-up. A FIFTY PERCENT DEPOSIT IS REQUIRED TO THE DEPOSIT HOLDS THE TENT RENTAL AND WILL BE APPLIED TO THE TOTAL BILL DEPOSITS ON TENT RENTALS ARE PAYMENT IN FULL IS DUE ON OR BEFORE DELIVERY OR PICK UP OF ITEMS. 72 HOUR CANCELLATION POLICY ON OTHER ITEMS PRICES ARE SUBJECT TO CHANGE WITHOUT NOTICE SPECIAL LIGHTING REQUIRES EXTRA TIME. Arrangements for special deliveries must be made prior to the event. Pick-up & Cleaning Charges All items should be assembled in a single location. Tables and chairs should be knocked down, stacked, and ready for easy pick-up. All of our dishes are sanitized, wrapped, and ready for immediate use.
Please return all dishes thoroughly rinsed and in their appropriate racks. Remove all plastic wrap even from dishes not used. All linens should be folded, debris free, and stacked, along with the hangers. A charge will be applied if pick up and cleaning conditions are not properly met. Labor charges will be levied on a per man per hour basis according to time and equipment required to complete the job. This includes such things as set-up and break-down of items, power washing dishes, carrying rental items above ground level, etc. Please call for further information. Rappahannock Rentals Party line applies a non-refundable damage waiver to the cost of all rental equipment. This cost covers reasonable wear and tear on the equipment and is not insured. The renter is responsible for damage, theft, vandalism, misuse, abuse or missing equipment. Responsibility for equipment remains with the renter from the time of delivery to the time of return. We do charge a replacement cost for missing and/ or broken equipment.

Enjoy the entire Museum to yourselves with our Sunday and evening event rentals! We’re closed to the public, so you choose your party time. *Subject to staff availability. The rental period should include set-up and clean-up times for your event. Additional time spent at the Museum, either before or after the event, will be subject to a $150 charge for each 1 hour block of time. A $50 deposit is required to reserve a date; this deposit is refundable until two weeks before the party. Reservations made less than two weeks before the requested date are subject to a $35 late fee. How far in advance can I schedule my event? You may schedule your event as far in advance as you would like, but all events must be scheduled — and the reservation deposit paid — at least two weeks before the requested date.
How do I reserve a event date?Then, after our staff has helped you settle on a party date and time, you can either submit your $50 reservation deposit via the online deposit link we email to you or pay it in person at the Museum. It's as easy as that! What happens if I have to cancel the event? Is my deposit refundable? The $50 deposit is refundable for parties canceled two or more weeks before the reserved date. Our staff is also happy to help you reschedule for an alternate available time. The event date I'd like to reserve is less than two weeks away; can I still schedule a event? As long as the date and time you are requesting is available, absolutely! However, a $35 late fee will be applied to any parties scheduled less than two weeks before the requested date. Can caterers come early to drop off supplies? Is there a place to unload? Yes, all supplies can be dropped off before the event. We have a full-size kitchen that can be used. Just keep in mind that the museum is open to the public Monday-Saturday, 10:00 am - 5:00 pm.
