Every banquet or event requires tables and chairs. If your site has annual or frequent events, renting the necessary tables and seating every time can be costly and inefficient. You might want to consider purchasing your own tables and chairs, and storing them when they are not needed. The first step in ensuring you have a successful event is having the necessary and appropriate furniture. The type of event and the number of people will usually determine the style and amount of chairs and tables you need. Most folding tables seat 6-10 people, so find the style of table you prefer, check the seating capacity, and determine how many you need. There are many options for event seating you’ll want to consider. The options not only include style and color, but can also folding vs. stackable and upholstered vs. plastic/metal. When choosing a location for your event you’ll need to estimate the required space and design the layout. There are several common seating arrangements to consider:
Classroom style seating is great for presentations where the guests will need to be seated facing the front of the room. Rectangular seminar tables are placed in rows with chairs behind each table. The surface allows for people to take notes or look at distributed materials. The drawback with this arrangement is that the horizontal alignment inhibits interaction with other seated participants. Theatre style seating is great for speeches, lectures, and watching films or performances. Banquet chairs are faced towards the front of the room and placed next to each other in rows, without tables. With theatre style arrangement, it’s advised to allow 3’ from the back of one row to the next row of chairs. Theater style seating is the most space saving option and will maximize the number of attendees, but keep in mind that since there are no tables, this set-up is not ideal for taking notes. Banquet style seating is commonly used for food functions. 8-10 people are seated around a 5-6’ diameter round table.
Table rows are off center in order to maximize seating. Make sure to leave at least 5’ in between tables to ensure enough seating room, plus additional room for servers or people to move throughout the arrangement. Banquet rounds seating allows for a great deal of interaction amongst guests making it perfect for dinner functions. One downside is that it can be difficult for some people to see the screen or stage if they are faced the wrong way. Herringbone style seating is great for dinners that will involve a speaker or presentation. The tables are oriented toward the speaker longwise, to allow for most guests to be seated facing the speaker. Chairs are placed on both sides of the tables and at one end, with an empty end where people would have their back to the speaker. No matter what seating configuration you use, always check with the facility for any local fire regulations that dictate the number of people in each row, aisle space requirements, or the number of rows in each section.
Leave extra space for the stage, presentation equipment, server stations, bar area, dance floor, or buffet tables.
