1️⃣ Overview Questions


Do we have a target of the number of stories we want to share by when?

As much as we’d love to post as many stories as possible, our target number for each month is at least 20 stories on our site including interviews and articles!

Since we have quite a large team, hopefully that should be a reachable target, dw if we end up not reaching it, we just need to get as close as possible!

Please refer to our Vision Plan for our summary of goals. We’ve set SMART goals internally and have summarised them for the Vision Plan for easy comprehension 😃


Is there a way to see what other teams are working on to get an overall picture?

All boards on Trello are viewable to the rest of the team so that you can all see what each other are working on so feel free to take a peep 🙂


If we want to write our own story, are there additional guidelines on the approach?

There's no specific guideline on the story content as everyone's different. You can write everything you want to - as long as it's related to HKers.

No language preference as well - either eng or chi is fine as don't forget we have two teams of amazing translators here 😉

But if you do hope to read something for reference, do check out the articles already uploaded on the website.


Do we source materials from the internet or are they all original interviews only?

We need to ask for consent if it's penned by someone else. So this is why, although we've come across a lot of great articles, we need some time to get their permission before we proceed.

So atm being our journalists are pushing original interviews ☺️☺️

However, we do share content from the internet on our social media. Our Social Media team are constantly on the lookout for great stories for us to share and they will be worked on for our content calendar.


How do you all go through >100 msgs received at the end of every day from Telegram....

We try to keep discussions for specific work within each team group and any general discussion or non-work related chats for the Team Discussion Group!

We recommend:

  1. Check pinned message for any important announcements and the Trello Boards Update
  2. Look for any messages from admins @YellowShyGuy @Jmato2 @TShker for clarification of most of your questions
  3. The rest if you have time


Where are the finished articles published?

Interviews labelled [A] will be posted on the website www.wearehkers.com first and then shared to all our social media accounts

Online sources labelled [B] will be inputted into our content calendar and then scheduled for posting onto our Facebook, Twitter and maybe even Instagram accounts for audience engagement.

Weekly email newsletter updates will also be sent to our subscribers.


I’m pretty busy and might not be able to work as much, is that okay?

Of course!! We operate on a volunteer basis so don’t feel guilty if you’re busy and you can’t work for a few days, we totally understand!!! If you’ve already taken on a specific task then it would be good to let us know, otherwise, just help us whenever, wherever and however you’d like!! (whilst still working as efficiently and proactively as you can, of course!) We’re already EXTREMELY grateful that you’re here 🙇🏻‍♀️🙇🏻‍♀️ if there are any questions about any of the tasks just discuss it in the group or pm @YellowShyGuy or @tshker ❤️

I’ve filled in the Team Register but still can’t seem to be able to access the Trello Boards?

Our team is private so require invitation to join. We will add you into respective teams once you've filled in the team register. We'll share with you the board with the email you filled in and the boards should be available to all members of the team. 😊

Sorry if there is a slight delay, admins are working hard to catch up with all the admin tasks!

What is the work process?

This is the amount of work that each story goes through:

So yes it’s quite a comprehensive process, but that’s how our stories will be top notch and will be the best quality and a creation of the whole entire team. Every story will be treated and nurtured like our babies 👶🏻👶🏻👶🏻 With the amount of talent we’ve recruited (thanks to all you guys for applying!!!!!) things should be moving pretty swiftly hopefully. We’re all volunteers so don’t worry if you can’t complete things quickly, we completely understand, just let us know or maybe put it back on to the lists for others to claim the task. Just help whenever you can and as much as you can! ☺️


I see a board of HELD Sources, what are these?

The held sources are sources that don’t pass our screening and we don’t want to progress with it so we send it to the held sources board as a library for if we want to go back for it.


Do we use hashtags for our articles?

Yes we do. Our target is churning 10 articles a month, by after 2 if not 3 months we should be (if not be at) nearing 30 articles. Tagging the stories may allow users to filter out with perhaps the intention to find more relatable articles. For example, if there was an article about a specific occupation like a Nurse, then a story that is either from a Nurse or related to their influence could be tagged with 'Nurse', this will allow other nurses to view it through a search criterion. The main purpose is so that people have a way of filtering out what maybe hundreds of articles in the future.

We have some tags on our articles already, if you scroll to the bottom you’ll find them at the end, and our search function will pick them out when you search for anything on the site. Editors are tasked with the role of coming up with relevant hashtags and I’m sure as we add more stories we will have similar tags and then the tag database will start building up.


I see some hashtags being used on the Trello Boards, what do each of them mean?

We use hashtags to label each task so that we are able to refer to the specific task when we discuss it on TG. Right now, our list of hastags are as follows:

#i1 = interviews

#m1 = media articles

#s1 = submissions


Why do I see [A] and [B] in the task names on Trello?

We use these to differentiate between the different types of content so that coordinators know where to send the task next. 

[A] = website content - will end up in the Outbox to be posted on the website before being shares to social media

[B] = social media content - will end up in the Content Repository to be input into our content calendar for social media engagement posts.


Is there an editing role before publishing after the design is made?

Since our teams are kinda big and from everywhere around the world with different time zones and our members are all volunteers who may not be available at the same times, it might mean that things may be delayed if translators and artworkers must work together.

Agreed there should be a final look over at the end, but it would get very messy to add translators into artworkers as well as there would be too many people on one board. Theoretically as journalists need to go through 2 rounds of checks and then translators need to go through 1 round of checks, by the time it gets to the artworkers it should be pretty finalised and artworkers don’t need to edit anything but just create a sort of “book cover” and add photos to the text so they shouldn’t really be editing the content anyway.

To solve this problem, since we have coordinators who help move things to the Outbox after the artworkers are finished, we can ask them to double check it before moving it to the Outbox or send it back if there are any problems ☺️

With regarding artwork creation editing and compatibility and spacing, @YellowShyGuy will be checking that as a graphic designer and will be in charge of that team ☺️


Where can we see where the finished tasks are?

When a task is finished within a team, they’re moved to the next team to translate/produce artworks!! They’ll be published when all is done!! 😊😊

So the flow of any story goes like this:

  • JOURNALISTS - interview, edit, proofread
  • TRANSLATORS - translate, edit
  • ARTWORKERS - create artwork, insert photos
  • OUTBOX

All the content will end up at the Outbox once it’s finished

All boards are viewable to all team members so feel free to nosey in on any of the team boards! 🙂


Will we know when there’s anything new to be worked on?

We have a group of coordinators, their job is to give regular updates of what’s happening in Trello in the respective team groups, that includes posting the following updates, for example in the artworkers group:

Where the number indicates how many tasks are in each list, so that you can check it whenever you’re free and know that there are tasks for you to work on when you have time.


Can we edit directly when proofreading?

Yes, of course! We have checklists for both editing and proofreading which you can find on Trello, whilst checking off each criteria, if it doesn’t meet the standard, please do edit it to fulfil the criteria.


Can taskers edit errors in the produced material from other teams?

Of course! If you’re a translator and you see an error in the source material, or you’re an artworker and you see an error in the translation, please feel free to edit it. However, please refrain from editing other teams’ work too much, if there are many mistakes, please contact the person who did the edits directly.


A post has been moved to the ‘Editing’ section, does it mean I can edit it?

Posts that are already in the editing section probably means that someone is already editing it. To avoid inconsistencies in style and language, we ask that only one person works on a task at any time. However, please feel free to edit anything in the ‘To Edit’ list or proofread anything in the ‘To Proofread’ list!


When a document is on Google Drive, do I add comments or edit the document directly?

Do edit it directly, since, having claimed the task, you’re the one in charge of it! However, if you are unsure of something, feel free to use the suggestions feature and then ask the rest of the team to have a look over before you accept your changes.

4️⃣ Team Questions


How are Editors, Artworkers and Translators supposed to cross collaborate and communicate?

That's why we have a discussion group on TG! you're all welcome to message each other privately as well! On the boards it shows who's part of which team and if you want to find out who edited or who translated a particular piece, we have tags such as #s1 or #m4 etc so you can call it on TG  eg. "who translated #s7 about the curry fish balls?" and hopefully they will answer and you're welcome to talk in the group or privately.

Alternatively, you can also look at the edit history of each card on Trello and comment on there tagging the relevant person.

Due to privacy issues we'll not be sharing the accounts widely in case it gets leaked out elsewhere accidentally.


Would Editors, Artworkers and Translators have contact access to the person who wrote the story?

To protect the identity, it would just be the journalist in contact. Also due to confidentiality issues, even if the person is willing to show their name and face, we wouldn't be handing their contact details around. If there's something important then we can ask the journalist to get in contact again.


Can multiple people work on one task?

We don’t recommend people to share tasks, especially for translation or writing as this may result in inconsistent style and standard of language throughout the article. Tasks are first come first served, so if you miss a task, keep an eye out for any other tasks that need work! Exception to this would only be when a journalist is interviewing with a photographer joining then both of them can claim the task together.
