Job Description

We have an exciting opportunity for a highly capable individual to help us in increasing the quality and quantity of bids and to support successful delivery of all tender documentation.

  • Proven capability in delivering winning, multi-million dollar product or complex services opportunities. Ideally has a background in solutions and services andexperience of bid campaign management from opportunity identification through to project delivery, and will provide valuable input into opportunity qualification, win strategies, commercial discussions and solution design.
  • The Bid Manager is responsible for the quality of all aspects of the bid, including written documentation and presentations. They ensure all bid documentation is clear, concise and - crucially - compelling. They source and co-ordinate design input to ensure the visual standard of all documentation and presentation material is first class and eye-catching.
  • The Bid Manager will assemble a bid team with the relevant service / product / business knowledge required to prepare a winning bid, whilst taking ownership of the end-to-end bid process. Responsibilities include introduction and implementation of all necessary bid procedures, governance, and process. This is a highly networked role that requires an ability to work under pressure and to challenging deadlines. It will require strong people management and commercial skills.
  • The ideal Bid Manager should be highly motivated, innovative, customer focused and have a ‘can do’ attitude. They should be an experienced manager, able to motivate and inspire others; able to obtain a high level of work from the team to ensure all deadlines are met efficiently and that the bid is of the highest quality possible.


The key responsibilities of the Bid Manager are:

  • Develop a plan and provide project coordination to support the nominated Bid Leads in the bid management of the tender process, ensuring compliance with the customer’s procurement process for the tender, and facilitating the successful completion of each bid response. This project coordination will include at times the matrix management of cross-functional bid teams in support of the Bid Lead.
  • Managing, supporting and coordinating the internal teams involved in bid preparation. These can be virtual bid teams and inputs from a variety of stakeholders, typically involving contributions from services, sales, marketing, product teams, and finance, commercial and legal.
  • Take ownership of submission to the appropriate customer portal or other defined way. Submission documentation is to be submitted in the required compliant format by the appropriate deadline. Required formats may be print, email, MS Office or other customer specified document formats.
  •  Preparing and reviewing the commercial aspects of the bid, ensuring all technical, solution, product and services are included in the final price to the customer.
  •  Risk and bid budget tracking and management throughout the bid process.
  • Understand and resolve complex, technical, strategic and business issues.
  •  Manage communications with, and responses of, bid materials into customer systems for regionally led bids.
  • Will be able to work well in a team environment including engagement with central teams.
  • Responsible for any other duties as directed by the Regional Pre Sale Lead to ensure support of the bid process as required.
  • Reviewing and monitoring bidding progress and resolving / escalating issues and problems.
  • Work within the company Bid Process procedure to support the delivery of high quality tender materials.
  • Maintain a good working knowledge of the company business practices and standards to ensure an appreciation of the broad scope of knowledge and content required to satisfactorily respond totenders.
  • Have an understanding of the procurement processes of services management tenders in both the public and private sectors to ensure effective planning and compliance of the tender response. This understanding includes the types of procurement rules, the required types of response documentation, and the types of document return methods – including web portal systems.
  • Have an excellent working knowledge of the company’s current workflow and document production systems which are Microsoft Office based: Word, PowerPoint, and Excel.
  • Develop a working knowledge of other systems as required.
  • Responsible for the professional handover from Pre Sales to Post Sales based on the respective processes.
  • Arrange all post bid reviews post contract award with Post Sales.
  •  Contributing to the written proposal- both in terms of content and presentation (such as preparation of a management summary).
  • Use the experience and creative skills within the tender production process to ensure that the company is perceived as a quality solutions provider and the number one choice for its existing and prospective customers.
  • Be able to understand a tender question, and then being able to assemble a structured answer which provides both a technical response which is written in the context of company strategy, values, and unique selling points.
  •  Be able to think out of the box and seek innovative solutions when supporting on bids.
  •  Support in defining the structure of the bid with the Regional Pre Sale Lead and Key Account Director.
  • Writing the bid responses, including ITT(invitation to tender) and PQQ (Pre-Qualifying Questionnaires).
  • Proof reading all documentation written by yourself or others either in the bid team or provided from internal or external sources.

Basic Requirements

  • A University Bachelor’s degree or similar (preferably in computer science, communications, software engineering or a similar field).
  • Min. 5 years experience in Project Management, ideally with a certification such as Prince2 or PMP or similar Project Management Bodies
  • Proven track record of managing high-performing bid teams.
  • Experience with Estimating and forecasting , Project Budgeting , Pricing methodologies , Risk assessment.
  • Demonstrated performance in complex solutions and innovative deal construct.
  • Consultative, Value-proposition/ Business case driven pre-sales methodology experience is highly desirable.
  • You should be comfortable working for a dynamic, agile, disruptive and technical organisation with a rapidly expanding customer base.
  • Previous experience in Public Safety communications would be useful but not mandatory.
  • Successful at developing and managing complex bids and interfacing in at all organizational levels.
  • Strong leadership and management skills.
  • Strong communication skills.
  • Ability to be organised and analytical, and must be able to eliminate sales obstacles using creative and adaptive approaches.
  • Resilience and resourcefulness when solving complex problems.
  • Excellent team skills.
  • Fluent in English & Russian
